Property Operations Associate

Responsibilities:

  • Conduct weekly rent collection calls and prepare reporting of tenant follow-up efforts.
  • Support PM with scheduling, creating and managing the life cycle of maintenance requests daily.
  • Coordinate with the facilities team, tenant, and third-party vendors to perform maintenance at the properties.
  • Assist tenants with rent relief program applications as well as subsidy renewals, i.e. SCRIE, DRIE, and Section 8.
  • Respond to tenant calls, messages, and emails in a timely fashion.
  • Manage filing of both physical and electronic documents.
  • Schedule and coordinate meetings, including preparation and distribution of agenda and meeting minutes.
  • Work with APM to draft, prepare and distribute all correspondences in regards to building changes, updates, utility shutdowns, and property information.
  • Prepare all annual registrations.
  • Maintain the accuracy of building and tenant files.
  • Periodic auditing of tenant files.
  • Track and file all contracts and insurance certificates.
  • Send tenant welcome package (email and printed version in unit before arrival).
  • Weekly updates on Group Master Tracker
  • Support APMs in projects and daily tasks.
  • Support APM with HPD violation corrections and certifications.
  • Update company shared sheets for the group.
  • Participate and contribute to all training and development.
  • Stay up to date on new regulations and housing policies.
  • Assist with special projects as needed.
  • Deliver exceptional customer service.

Qualifications, Characteristics & Other:

  • Minimum of 3 years of customer service or administrative experience
  • Excellent organizational and time management skills
  • Ability to build rapport with tenants/clients
  • Ability to multitask and prioritize
  • Excellent written and verbal communication skills

Schedule:

  • 8-hour shift
  • Monday to Friday
  • Night shift
